POSITION:               BILINGUAL SECRETARY III  - PARENT EDUCATION CENTER

 

LOCATION:               PARENT EDUCATION CENTER, HENRY ST. BUILDING

 

EFFECTIVE DATE:    Immediately

 

SALARY:                   $24.23 - $26.71 per hour

                                AA Degree - $.50 per hour extra/

                                BA Degree $.75 per hour extra

 

SCHEDULE:         8 hours per day, flexibility with schedule

                                Monday through Friday

                                180 day work year

                                                                                                                       

QUALIFICATIONS:

REQUIRED:

*High School Diploma or equivalent

*Grade ā€˜Cā€™ or better on District administered Employment Test

*Keyboarding accuracy at 45 wpm on district administered test

*Ability to proficiently read, speak and write both Spanish and English

*Minimum of two years of responsible secretarial experience

*Must work independently and on own initiative with a minimum of supervision and with many interruptions

*Extensive experience with database systems, Microsoft Office, Word, Publisher, Excel,          Outlook, and webpage 

*Ability to design efficient record keeping systems

*Ability to design spreadsheets and database programs to meet data, budgeting and purchasing needs

*Ability to obtain and impart information tactfully and accurately

*Must have excellent organizational, proofreading skills, spelling, punctuation, and grammar

*Excellent communication skills, ability to compose letters from keyed ideas and express        ideas clearly

*Demonstrated punctuality and an excellent work attendance record

*Must work within designated bounds of authority and confidentiality

*Must maintain and respect confidentiality of school district matters and records

*Ability to establish and maintain a tactful cooperative working relationship with staff,   students, and patrons

*Ability to coordinate all arrangements, locations, travel arrangements and paperwork as      required by the department

*Ability to follow safe work practices and procedures

*Previous school district experience

 

 

GENERAL RESPONSIBILITIES:

Under the supervision of the Special Programs Coordinator, this position is responsible for the clerical support related to the Parent Education Center.  This position required the ability to work in an office environment with multiple demands, noise, and frequent interruptions.  Responsibilities center primarily in answering telephones and receiving visitors interested in participating in the center.  The employee will maintain office operations by receiving and distributing communication, scheduling appointments, maintaining calendars, processing forms, and maintaining accurate records and data.

 

SPECIFIC JOB RESPONSIBILITIES:

-Works flexible hours to meet the needs of the program

-Answer and return stakeholder telephone calls 

-Responsible for obtaining, tracking, and processing Time and Effort for various groups

-Maintain files

-Assist with tracking budgets

-Prepare requisitions and work orders

-Maintain inventory, order, and distribute supplies as needed

-Handle incoming and outgoing correspondence as assigned

-Coordinate and secure training/meeting locations, including set-up and clean-up

-Prepare copies for trainings and meetings

-Process large mailings

-Perform other related clerical duties as assigned by the Special Programs Coordinator
